Choose an assistant’s access
Understand viewing, editing, duration, and the actions that need a separate decision.
4 min readChoose access for the task
Choose Exclude for areas the assistant does not need. Use View for reading and summaries. Choose View and edit only for areas where you intend the assistant to make supported changes. The assistant’s access is also limited by your own company membership and permissions.
An approval request must include editing before you can grant it. A viewing-only request cannot be expanded to editing inside the approval window. Ask the assistant for the intended access, then review the new request.
Choose advertising accounts
Ads and Reports access require an explicit selection of the Meta or Google advertising accounts your assistant may use. Newly connected accounts are not automatically added.
Choose how long access lasts
Review the connection duration before approval. A timed connection ends after that duration even if your assistant is still using it. No scheduled end means access can continue until it is disconnected or your account loses access.
Review your connections in Settings → AI connections. Disconnect a connection deliberately when you no longer want it to work. Expired or disconnected access requires a new approval; a status refresh does not restore it.
Editing is not blanket authority
- Ordinary editing does not authorize report sharing, sending, publication, or deletion.
- Report sharing and sending have separate access requirements and require an explicit delivery decision.
- A local calendar link or conversation assignment does not authorize changing an event or sending a message in the connected service.
- Finance & accounting viewing covers available connected records, statements and billing review. Editing can allow invoice creation or updates; sending and voiding each require their separate permission. Editing access to both Finance & accounting and Clients also allows reviewed links between existing customers and clients, which can affect client invoice visibility. Billing configuration, payroll, money movement and owner administration remain unavailable.
- A client’s original submission, signed terms, or recorded decision cannot be treated as an ordinary editable note.
A connection does not schedule work
Connecting an assistant gives it the access you approve when it runs. It does not create an always-running employee, a recurring brief, or a scheduled automation.
A weekly brief needs scheduling supported and configured in the assistant you use. Confirm where it runs, when it runs, and how you receive the result there. A scheduled run still needs an active AgencyOS connection and the appropriate account access. Expired access can prevent the next run.
Start with a read-only brief and check its sources. Scheduling never adds permission to send messages, publish reports, or make unreviewed changes.
Check access without changing it
Ask the assistant to identify the company and areas it actually checked with a read-only request. If an action is unavailable, review the specific access required before adding permissions. Do not grant broad access solely to troubleshoot a connection error.
