Share a connected calendar or account

Choose who can use a connected resource, check their saved access, and remove access when it is no longer needed.

Start with the right account

These steps apply when Access & sharing is available in your workspace. Sign in to the intended company. To find resources, you need integration management access and an eligible connection: your own provider account, or a QuickBooks company explicitly shared with you while you are an active workspace Owner. To share an existing resource, you must own its connection or have permission to manage sharing for that resource.

A newly connected account starts private to the person who connected it. Choosing a calendar to display, linking a record to a client, or being a workspace administrator does not by itself share the connected content.

Choose a resource and a teammate

You can also open the same sharing dialog from Share beside an owned calendar in Calendar or the selected owned account in Inbox. If a required resource or sharing control is missing, ask its connection owner to check it.

  1. Open Integrations and find Access & sharing. In My connections, select Find resources.
  2. Choose the Account and Type, then select Find. Check the resource name and provider before continuing. Finding resources leaves them private.
  3. Select Share beside the resource. In People, check the account owner and anyone already listed.
  4. Under Add someone, choose an eligible teammate in this workspace. Select the access they need from the options offered.
  5. Review the complete list of people and access levels, then select Save changes. Wait for Sharing saved, reopen Share, and confirm the saved list.

Choose the access the task needs

Calendar, mailbox and advertising shares do not permit editing events, sending or organizing mail, changing campaigns or spending money. Viewing access and permission to manage sharing are separate choices.

For QuickBooks, explicitly sharing company viewing access with an active workspace Owner gives full integration access, including when that share was saved earlier. It is broader than a limited invoice preview. Creating, editing, sending or voiding invoices still requires the relevant action policy, team permissions and approval workflow. Manage sharing only does not give this company access.

Other recipient roles keep their selected resource access. Losing the Owner role removes full QuickBooks integration access, while separately permitted resource viewing may remain. Check the saved audience after a role change.

In Settings, Workspace resource lists the resource under Workspace connections. It still uses named access, and the original account owner remains responsible for the connection. It does not grant access to everyone in the workspace.

Available sharing choices depend on the resource, recipient role and your own access.

Full QuickBooks accessAn active workspace Owner with explicit company viewing access can use the QuickBooks integration. Invoice actions still need separate permissions.

Use something shared with you

The Inbox shared view shows a limited set of messages and plain text bodies. It does not include attachments, full mailbox history, reply or organization controls, and opening a message does not mark it as read.

Shared advertising and limited invoice previews do not authorize provider actions or represent a complete export. Full QuickBooks access for an explicitly shared active Owner is a separate case; it does not enable invoice actions automatically. Turning a resource on or off in a display does not change anyone’s saved access.

  1. Open Integrations → Access & sharing → Shared with me. Select Open beside the resource, or Share if you also have permission to manage its sharing.
  2. For a shared calendar, open Calendar and turn it on under Shared with you. Choose a view and date range. Busy-only events appear as Busy; shared events are view only.
  3. For a shared mailbox or phone number, open Inbox and select it in Mailbox. Choose My inbox to return to your own accounts.
  4. For a shared advertising or limited finance resource, use its checkbox in the shared-resource section of the relevant page. Finance still requires Finance access.
  5. If your QuickBooks company shows Full QuickBooks access, you can use that company in the normal Finance and billing workflows when your permissions allow. Review the exact company before working with invoices or billing settings.

Check what is actually saved

The check reads the saved access. It does not apply an unsaved draft or prove that a provider request succeeded. Ask the teammate to refresh and open the resource to confirm they can use it.

  1. Open Share for the resource and select Activity.
  2. Under Check saved access, select the Person and choose Check access.
  3. Compare the result with the access you intended. If you have unsaved changes in People, save and check again.

Set an expiry or remove someone

Removing access stops future protected access in agencyos. It cannot recall information someone already viewed or downloaded, or undo an action already completed in the provider.

  1. Open Share → People. Use the options button beside the intended person.
  2. For temporary access, set a future Expires (UTC) value. For removal, select Remove access.
  3. Select Save changes, reopen the dialog, and check the saved audience. Use Activity → Check saved access if needed.

If sharing cannot be saved or opened

  • Sharing changed elsewhere: select Reload saved sharing, review the current audience, and apply only the changes you still intend.
  • Temporary access-check failure: use Retry access check when offered. Check the displayed draft and saved audience before saving again.
  • Unavailable teammate, unsupported access or expired date: correct the listed issue. A person managing sharing cannot grant more access or a longer duration than their own.
  • Resource missing or access denied: confirm the company and ask the connection owner to check the saved share, membership, expiry and provider access. Refresh after the issue is resolved.
  • Expired provider access: ask the connection owner to restore it. For QuickBooks, an active workspace Owner with explicit company access and integration management permission can also reconnect the same saved company. Other shared views do not authorize restoring someone else’s provider connection.
  • Suspended connection: ask the account holder and workspace administrator to review it. Connecting again after suspension creates a new private connection; old shares are not restored automatically.
