Prepare for a client meeting
Bring the latest client context, blockers, and decisions into one useful meeting brief.
6 min readChoose the client and review period
You need viewing access to the client and relevant delivery records. Preparing a written brief does not require editing access or a connected inbox. If you include emails, calendar events, or ad results, those sources need their own authorized connections.
Use a specific meeting date and review period for your client. The screenshot uses sample client data to illustrate where to find the information.
1. Check the client’s current context
- Open Clients, search the company, and open the correct record.
- In Summary, review Needs attention and Client overview. Note blocked or overdue work and the current primary contact.
- Use Contacts to check who should attend. Open Delivery to review services, contracts, and onboarding items relevant to the meeting.
- Start in Summary for current context.
- Use Delivery and Activity to check the work behind your brief.
- Save reviewed follow-ups with Task or Note when you have editing access.
2. Review what changed
Open Activity to inspect Client requests, Tasks, and the activity timeline. Check task owners, due dates, and statuses. Read the latest notes in your chosen period; a team note and an automatic Workspace update are different kinds of evidence.
Write down completed work only when a saved record supports it. Keep unresolved requests and missing information visible instead of assuming silence means completion.
3. Write a brief you can use
- Progress: what changed since the last meeting, with record references.
- Blockers: what is waiting, who owns it, and what would unblock it.
- Decisions: the specific choices the client or your team needs to make.
- Questions: missing information to clarify during the call.
- Next steps: proposed actions with owners and dates, ready for discussion.
4. Check it, then record agreed actions
Compare the brief with the exact client and task records. Confirm the review period, distinguish facts from recommendations, and remove assumptions before using it in a meeting.
After the meeting, use Task or Note in Summary or Activity to save the actions you actually agreed. Review each saved owner, due date, and note. These controls require the relevant editing access.
When the context is incomplete
- Client missing: clear directory filters and confirm the company and your membership.
- Tasks or activity unavailable: identify the missing area and ask the owner about access; do not treat missing access as an empty workload.
- Assistant summary differs from the workspace: ask which records and result pages it checked, then correct the brief from the source.
- Unable to save a follow-up: retain the written proposal, check whether a record already saved, and resolve access before retrying.
